Access to Information

The Town of Trochu is committed to openness, transparency and accountability. The Alberta Access to Information Act (“ATIA”) ensures individual right of access to information and protects the personal information of the public, and employees of public bodies operating in Alberta. The Town of Trochu (“Trochu”) is bound by the requirements of the Protection of Privacy Act (“POPA”) and corrects, collects, uses, and discloses personal information in accordance with its provisions.

Access to Information Requests

What you can request:

You have the right to request access to records in the custody or under the control of the Town of Trochu, subject to limited exceptions set out in the ATIA.

Examples of records you may request are:

  • Reports, correspondence, meeting records
  • Contracts and agreements
  • Policies, procedures and administrative records

Some information may be withheld or severed to protect privacy or other interests as required or allowed by law.

How to make a request:

To submit an access to information request:

  1. Complete the access request form (At this point in time please email thrive@townoftrochu.ca or stop by to obtain a form)
  2. Provide enough detail to help identify the records you are seeking (e.g., dates, subject matter, departments involved)
  3. Submit your request by email, mail, or in person, using the information on the access request form. Be sure to include the application fee.

Fees

A $25 fee applies to general (non-personal) requests. Additional fees may apply for processing large or complex requests, as permitted by the legislation. You will be notified in advance if additional fees apply.

You may request access to your own personal information. No application fee is required for personal requests.

Privacy or Access Complaints

If you have any concerns or questions about privacy or access, please begin by contacting the staff member where the complaint originated. They have the decision-making authority to resolve most concerns. If your concern is not resolved, you may make a complaint.

When to make a complaint

You may file a complaint if you believe:

  • Your personal information has been collected, used or disclosed improperly
  • Your information has not been adequately protected
  • Your request to correct personal information has not been handled properly
  • Your request to access information was not handled properly
  • For any other reason you believe the Town of Trochu has not complied with POPA and ATIA

How to submit a complaint

  2. Submit your complaint by email, mail or in person

What happens next

The Town of Trochu will review your complaint and may contact you for additional information. You will receive a response outlining findings and any actions taken.

Escalating your complaint

If you are not satisfied with the Town of Trochu’s response, you may request a review by the Officer of the Information and Privacy Commissioner of Alberta (OIPC).
